1. General Provisions

1.1. These General Terms and Conditions (hereinafter referred to as the "Terms") govern the access to and use of the website hvdhotels.com (hereinafter referred to as the "Website"), as well as all accommodation contracts, online reservations, and associated hotel services provided by HVD Hotels EOOD (hereinafter referred to as the "Company", "HVD Hotels", "we", or "us").

1.2. By browsing this Website, sending enquiries, or completing an online booking, you (the "Guest" or "User") explicitly confirm that you have read, understood, and agreed to be legally bound by these Terms.

2. Online Reservations and Contract Formation

2.1. Online bookings on the Website are facilitated through an integrated certified booking engine operated by Quendoo.bg EOOD.

2.2. A reservation is considered successfully made and legally binding once the booking process is finalized and an automated Booking Confirmation with a unique Reservation Number is issued and sent to the email address provided by the Guest.

2.3. The Guest is responsible for providing accurate, complete, and up-to-date information during the booking process (names, contact details, number of guests including children's ages, and travel dates).

2.4. Special requests (such as specific room location, bed configurations, or dietary requirements) are subject to availability upon arrival and cannot be guaranteed unless explicitly confirmed in writing by HVD Hotels.

3. Rates, Currency, and Payment Terms

3.1. All rates displayed on the Website are in EUR (€) and include applicable Value Added Tax (VAT) and standard municipal tourist taxes, unless explicitly stated otherwise.

3.2. Payment Methods:

• Credit/Debit Card (Visa, MasterCard, Maestro) processed via secure, encrypted payment gateways;
• Bank transfer (for bookings made sufficiently in advance);
• On-site payment upon arrival (where permitted by the selected rate plan).

4. Cancellation, Deposit, and Refund Policy

4.1. Specific Offer Conditions: Cancellation, amendment, and refund policies vary depending on the specific rate plan, promotional package, or seasonal offer selected at the time of booking. The exact applicable terms are explicitly detailed during the reservation process and in the Booking Confirmation email.

4.2. Non-Refundable Deposit: Any booking deposit paid to secure a reservation is strictly non-refundable, except where explicitly stated otherwise in the terms of a specific confirmed promotional offer.

4.3. Rate Categories:

• Flexible / Standard Offers: May permit cancellation or date changes up to the deadline specified in your booking confirmation. If cancelled after this deadline, the deposit or standard cancellation fee is retained by the Hotel.
• Non-Refundable / Special Promotional Offers: Full prepayment is required, and the total booking amount is strictly non-refundable in the event of cancellation, modification, or no-show.

4.4. No-Show and Early Departure: If the Guest fails to check in on the scheduled arrival date without prior written notice, or departs before the scheduled check-out date, the reservation is cancelled and no refunds will be issued for unused nights.

4.5. Refund Processing: Where a refund is due under the specific offer terms, it will be processed using the original payment method within 14 business days.

4.6. All requests for cancellation or modification must be submitted in writing via email to info@hvdhotels.com or via the booking management link in the confirmation email.

5. Check-in and Check-out Policies

• Check-in: Starts from 15:00 on the day of arrival. Guests must present a valid government-issued photo ID (passport or national ID card) upon arrival for registration pursuant to Bulgarian tourism legislation.
• Check-out: Until 11:00 on the day of departure.
• Early Check-in / Late Check-out: Subject to availability upon prior request and may incur additional charges upon prior arrangement.

6. Hotel Rules and Guest Conduct

• Smoking Policy: Smoking (including e-cigarettes and heated tobacco) is strictly prohibited in all indoor areas, guest rooms, restaurants, and enclosed public spaces. Designated outdoor smoking areas are provided.
• Property Damage: Guests are liable for any damage, breakage, or loss caused to hotel property, furniture, or equipment. HVD Hotels reserves the right to charge the cost of repair or replacement to the Guest's payment card.
• Quiet Hours: Observed between 23:00 and 08:00. Unreasonable noise or disturbance will not be tolerated.
• Dress Code: Smart-casual dress code applies in main restaurants during dinner (swimwear and bare feet are not permitted).
• Pets: Pets are not permitted in HVD Hotels properties, unless explicitly agreed in writing in advance.

7. Valuables and Liability

7.1. In-room electronic safety deposit boxes are provided for guest convenience. HVD Hotels is not liable for loss, theft, or damage to valuables left unattended in guest rooms or public areas.

7.2. HVD Hotels shall not be held liable for failure or delay in fulfilling obligations due to events of Force Majeure (natural disasters, extreme weather, government restrictions, epidemics, strikes, or utility outages).

8. Intellectual Property & Privacy

8.1. All content on this Website (logos, texts, photographs, layout) is the intellectual property of HVD Hotels EOOD and is protected by copyright law.

8.2. Personal data collected in connection with your visit and reservations is processed in strict compliance with GDPR and our Privacy Policy.

9. Dispute Resolution and Applicable Law

9.1. Any dissatisfaction regarding hotel services should be reported immediately to hotel reception during the stay so that management can resolve the issue promptly.

9.2. In the event of an unresolved dispute, consumers may access the EU Online Dispute Resolution platform (ec.europa.eu/consumers/odr) or the Bulgarian Commission for Consumer Protection (www.kzp.bg).

9.3. These Terms are governed by the laws of the Republic of Bulgaria, and disputes are subject to the jurisdiction of competent courts in Varna, Bulgaria.
